Conference Technology Skills Demonstrated!

Durban ICC was the venue selected to host PEPFAR 2006. (US President’s Emergency Plan for AIDS Relief). BL Seamon Corporation, the US based PCO appointed TRAVERSIO to implement and manage the technical environment for the conference due to its extensive related experience.

1500 delegates attended the 5 day event. As the facility was fully booked prior to the event, only 1 day was available to completely set up the technology. Over 270 speakers needed to present

“The local team were remarkable”, says Evan Berger, CEO of TRAVERSIO. “The event went off without a hitch and was run to international standards.” It was a fine balance between providing suitable technology whilst providing a price conscious service sensitive to the nature of the particular conference.
 

Outline of Services


Internet Access
Working with ICC technology department, TRAVERSIO ensured sufficient bandwidth was provisioned to run all areas. A combination of DSL and fixed line (Diginet) was provisioned for contingency.
 

Press Filing Centre
This facility provided international press with reliable technology to compile and distribute press articles.

 

Transcription
Press Conference and Plenaries were digitally recorded and transcribed for distribution.


Production Room
A full photocopy and finishing facility was installed for mass production of handouts.


Network
Utilising the existing network infrastructure, along with network switches provided by TRAVERSIO, a conference network was set up. Wireless Networking was used locally in some of the areas to eliminate the need for cabling due to the short setup timeframes.
 

The Speaker Preparation Room and PCO offices ran physically separate networks to ensure stability and security of these areas.
 

Cyber Café
By far the most heavily utilized area, delegates attending for 6 days required working facilities and reliable international internet access. 25 pc’s, printing and desktop support were provided from 7 a.m. to 7:30 pm daily.
 

Client Office
A second client office was set up at the Hilton Hotel for pre-event preparation. This included an office network and copy facilities.
 

Audio Visual
Traversio took responsibility for managing the A/V environment supplied by Durban ICC, ensuring a consistent link to the Speaker Prep room, and directing the A/V within the plenary sessions. Durban ICC technicians were extremely professional.

The Speaker Preparation Room was the critical path element of the services provided. 266 powerpoint presentations had to be loaded over days, and distributed to a plenary and 6 breakaway rooms.
 

Speakers reported the speaker prep Room where presentations were tested, loaded on to the speaker server, and distributed to the desktop of the respective session.

The speaker prep room was equipped with international fonts, different versions of office, internet access, and an ftp link to remotely post and backup presentations.
 

The grueling programme of speakers from around the world meant it was critical to keep to time, and ensure no technical glitches.

Using TRAVERSIO technology, this process was managed by two skilled staff and one desktop support technican.
 

Speakers who arrived last minute and proceeded directly to sessions had their presentations loaded and sent directly back to the TRAVERSIO Speaker Server.

With its core team coming from around the country, TRAVERSIO utilized Durban based support technicians and staff.
